BACK-END MAINTENANCE While things were quiet over the COVID-19 lock-down, we took advantage of the time to tidy up some bits and pieces regarding the ERS. When logging in next time you may (or may not) be asked to accept the invitation to join the ERS. You will need to reply YES as that will allow you to access the app, like before. |

ADMIN REPORT ACCESS We have added a number of additional options when it comes to selecting a questions when accessing the Admin Section of the app. As a result you may find that they look a little different now. If what you were expecting is not there, it may have slightly different wording. Your secret answer will remain unchanged. Any issues, simply renew your question, or text Grant and he will do it for you. |

Location Via GPS BETA TESTING HAS NOW ENDED Thanks to the patrols that tried out this new option. The "Send My Location" option has now been removed. We will assess the responses we received and re-evaluate this facility at another time. |

More than one patrol at a time We have removed the block that prevented a patroller being on more than one patrol at the same time. You may still receive a warning, but you will not be prevented from continuing on with another patrol. |

Adding new information to reports Patrol administrators will notice that the "Full Summary of Event" area of the incident reporting module can no longer be edited after it has been saved for the first time. This is to improve the integrity of the information, leaving it as it was when entered at the time of the incident. When you need to add additional information to a record, this is now available in your Admin Reports module by selecting "Full Reporting". You can then locate and edit the report. You will have a new area called "Follow up Notes", where you can add any additional information. |

Vehicle and Gear Checklist now available You can let me know if you are ready to start using this new feature now. I will continue to fine tune the new module if necessary and expect it to be released to all ERS users before December 2018. When installed, the app will feature before a patrol is about to commence. Patrol administrators can add, edit or delete items on the checklist as they require. A sample Excel spreadsheet is available in the Support Pages that will help you get underway. |

Reminder for WOF and Rego now available. Adminstrators can now include in their Patrol Data File the dates on which both the warrant of fitness and the vehicle registration expire. This information will be shown on the app screen when the patrol starts. These checks will also be included in the soon to be released "Vehicle & Equipment Check List" app included free with your ERS. |

Location Via GPS Now Available THIS APP IN IS BETA TESTING MODE We have created a simple addition to your options with a fast 'send my location" facility. All your patrollers need to do when they wish to report their current location is select the module and click "Submit" . They can add details with the report, but this is not a requirement. The report will be quickly emailed showing the full address of the location and a link to Google Maps to show the actual map of the area. All data is stored in your system for later access. Contact Grant if you wish to have this feature turned on. |

Deletion of historical data Just a reminder to all patrol administrators. Data that you have stored within the App is cleared out from time to time. We expect all records to remain available for six months, but if you wish to retain records older than this, you should use the Export feature of the App and save your data on a regular basis. Health & Safety Reporting Contained in the "End Patrol" report is an optional selection to use when reporting an event during the patrol that may have Health & Safety implications. This should be used to at least register the Health & Safety issue. A fuller report may be required by your patrol administration soon after. |

Global Positioning Data The latest version of Zoho Creator includes the use of GPS within apps. We are currently assessing the value of incorporating this feature into the current apps we use. If you have any thoughts on where GPS might help you and your patrol, please get in touch. |

Backing up your Patrol Data Remember to backup your data at least every three months. The ERS may not contain records older than three months. There is an online Youtube video to guide you through the backup process. |

Patrol Vehicle Fuel Remaining Field Contained in the "End Patrol" report is a field to require the user to answer a question on the approximate amount of fuel remaining in the patrol vehicle's fuel tank. This is a mandatory field and the answer will be contained in the email sent to the patrol administrator at the end of every patrol. This is another User requested improvement to your ERS. |

Graffiti Reporting Graffiti reporting is now integrated within the ERS. Originally a separate App, users now use an "Incident Report" and select "Graffiti - Tagging" from the CPNZ category list. Patrol administrators have the ability to set any number of email addresses so email notifications are sent to their local authority advising it of the graffiti issue. Help Video Available Here |

Police Event Number To assist with more accurate reporting, the field where you enter the Police Event Number is now a mandatory field. If you are unable to obtain a Police Event Number, please type NA in the field instead. |

Improved e-mail reports We have changed the way the emailed reports are formatted. Now, the emailed reports will only show the fields that contain user data. The reports are formatted in neat columns both on the tablet and PC. |

District Wide Adoption of ERS One of our northern districts has recently opted for all patrols in its patch to use the Electronic Reporting System. The District was very generously donated sufficient Samsung 8" tablets to provide one for each patrol, two training tablets and two spares. Version 2.20 released - Easier than ever - improvements to make reporting quicker for patrol administrators. A totally renovated back-end is now available. We have sought to make the task of patrol reporting to the authorities much clearer and more pleasurable for patrol administrators. Options are presented in a more appealing layout and have been grouped to provide better selection options. All activities are now included as part of the App, where previously a third-party was involved in securing password access to the reports. We have added two ready-access Reports for your patrollers and administrators to see at a glance, who is on patrol and who has recently completed a patrol. |
